Standard Duplicate Rules are provided by Salesforce, and you can also setup OneMerge Custom Rules.

To create a Custom Duplicate Rule, follow these steps:  

  1. Within your Salesforce instance, go to Setup. 
  2. Search for Duplicate Rules.  
  3. Click on the ‘New Rule’ button and select the Object the rule applies to.

The fields available to complete are: 

Rule Details 

  • Rule Name = The unique name of the rule  
  • Description = You can enter a description of the rule and how it works for other employees’ knowledge 
  • Record-Level Security  

Actions 

  • Action on Create = Allow and Report options should be selected.
  • Action on Edit = Allow and Report options should be selected.

Matching Rules  

  • Compare Accounts With = Select the Object that duplicate records are going to be identified with 
  • Matching Rule = Select the Matching Rule that is going to be used  
  • Add Rule = Allows you add further Matching Rules  
  • Remove Rule = Allows you to remove Matching Rules  

Conditions (This is optional and if utilised, the conditions need to be met for the Duplicate Rule to run) 

  • Field = Select the field the condition applies to  
  • Operator = Select the relevant option from the list available 
  • Value = Enter the Value that meets the condition requirements  

 The following is an example of a new Duplicate Rule for the Accounts Object. The Duplicate Rule will be for the Billing Address, where a Custom Matching Rule has already been setup. 

  • Rule Name = AccountBillingAddress 
  • Description = Custom Duplicate Rule for Billing Address on the Account Object 
  • Action on Create = Report  
  • Action on Edit = Report  
  • Compare Accounts With = Accounts  
  • Matching Rule = Account Billing Address (This is the Custom Matching Rule) 
  • Click on Save 
  • Click on Active 

NOTE: If you wish to use a Custom Duplicate Rule, you will need to ensure the Salesforce Standard Duplicate Rules are deactivated. To do this, follow these steps: 

  1. Within your Salesforce instance, go to Setup. 
  2. Search for Duplicate Rules.  
  3. In this example, we will deactivate the ‘Standard Account Duplicate Rule’. 
  • Select the ‘Standard Account Duplicate Rule’. 
  • Click on the ‘Deactivate’ Button. 

OneMerge Custom Rules

The Standard Duplicate Rule has now been deactivated.
