Getting Started with Free Edition

The first step in the Getting Started with Free Edition journey is to install the OneMerge Free Edition package, a certified managed package reviewed by Salesforce to ensure conformance to quality and security standards.

OneMerge Free Edition is available via the Salesforce AppExchange listing.

Alternatively, the Release Notes page provides access to the installation link for each versioned release.

OneMerge Activation Status is the best place to start after installing OneMerge Free Edition.

Select the Salesforce Object you want to configure. OneMerge will show the current setup status for that object and highlight anything that needs your attention before merge processing can begin.

Before Save Flow — Optional

Activate this Before-Save Flow to maintain the field-group timestamps used by OneMerge. Default Merge Rules use these timestamps to prioritise field values, such as retaining the most recently updated contact details.

If required, select Activate Flow.

Active Duplicate Rule

At least one active Duplicate Rule is required for this object. Configure Duplicate Rules to report, not block, duplicates on create and edit so Salesforce can create the Duplicate Record Sets that OneMerge processes.

Select Review Duplicate Rules to review the configuration.

Scheduled Merge Job

Configure and schedule a Merge Job so OneMerge can process and resolve the Duplicate Record Sets reported by Salesforce Duplicate Management.

Select Schedule Merge Job to configure processing for the selected Salesforce Object.

Data Stewardship — Optional

When Data Stewardship is enabled, Duplicate Record Sets require human review and must have the Merge Decision set to Accepted before merge. This prevents accidental merges. Paid editions provide more granular controls.

Data Stewardship starts Active following installation. This provides an additional safeguard during initial setup by preventing duplicate records from being merged automatically while you review and configure OneMerge. We recommend keeping Data Stewardship active while you review Salesforce Duplicate Management and OneMerge Merge Rules and test the expected merge behaviour. When you are ready, select Review Settings>Manage Application Settings and update the Data Stewardship configuration.

Activation Readiness

The message at the bottom of Activation Status tells you whether the selected Salesforce Object is ready for OneMerge processing.

If something is still required, OneMerge identifies the next action to take.

OneMerge extends the standard Salesforce features for duplicate record identification with automated Merge Rules. The standard Salesforce Duplicate Management features noted below require configuration.

Matching Rules compare records and detect duplicates. Standard preconfigured Matching Rules are provided for the standard Salesforce Objects (Account, Person Account, Contact and Lead). Custom Matching Rules can also be configured for standard and custom objects. Matching Rules combine fields with matching logic to define the criteria upon which duplicate records are identified.

Duplicate Rules specify the handling process applied to the duplicate records identified by Matching Rules. Duplicate Rules can Block the creation of duplicates, Alert the user or Report the duplication to a standard object for reporting purposes. OneMerge uses the records generated by the Report action (Duplicate Record Sets) as the input to the automated merge process.

Please review the Permissions panel displayed on the Setup Status tab within the OneMerge Home page, as shown below. This panel highlights required permissions and recommended configuration changes with links provided to the relevant Salesforce Setup pages.

Merge Rulesets group the Merge Rules for a Salesforce Object and define the logic employed to select the surviving record (Master Record) within a group of identified duplicates.

The Merge Rule configuration can be managed via the Merge Rules tab shown in the OneMerge app, this our recommended approach. Alternatively, the configuration can also be managed by Guided Setup (shown in the app footer) or by the Custom Metadata Types of the same names which are accessible via the Salesforce setup menu.

OneMerge installs default Merge Rulesets for the Account, Contact and Lead objects and also for Person Accounts if this feature is enabled. The default Merge Rulesets can be cloned and modified to meet your merge requirements in the following way.

• The Master Record Priority can be modified to change the logic applied when determining which record should be the winning record across the identified duplicates. Typically this would be the oldest record by created date or an existing master.

Merge Rules define the logic applied in the intelligent population of the winning record fields (e.g. the most recent communication preferences, the highest quality mailing address).

OneMerge installs default Merge Rules for standard fields on the Account, Contact and Lead objects and also for Person Accounts if this feature is enabled.

The default Merge Rules can be cloned and modified to meet your merge requirements in the following ways:

• New Merge Rules can be added for Standard Fields which are not covered or for Custom Fields.
• Additional fields can be added to the default Merge Rules.
• The Merge Rule priority can be modified to change the logic applied when populating the winning record from the identified duplicates.

Merge Jobs are scheduled to merge Duplicate Record Sets reported by Salesforce Duplicate Management using the logic defined by the active Merge Ruleset for the Salesforce Object.

The Merge Jobs panel displayed on the Setup Status tab within the OneMerge Home page, as shown below, highlights the Last Scheduled Job, Next Scheduled Job and the Last Job results.

To schedule a job follow the steps below.

• OneMerge Activation Status>Schedule Merge Job (this will take you to the Guided Setup).

Or,

• Open the Apex Classes page in the Setup menu.
• Click the “Schedule Apex” button.
• Select the required class (e.g. AccountMergeJob, LeadMergeJob:), define the Frequency and click the Save button.

Or,

• Guided Setup > Schedule the Merge Job (setup action on the first screen)

The Merge Jobs panel shows Status, Last Scheduled Merge Job, Next Scheduled Merge Job and Last Job Results. Select View Merge Jobs to review scheduled processing.

Data Stewardship is controlled by the Application Setting [Is Data Stewarding?] and can be activated via Guided Setup or Setup Status.

Once activated, only Duplicate Record Sets with the OneMerge custom field Merge Decision set to Accepted will merge via OneMerge Merge Jobs. This lightweight data governance process introduces a manual review step between creation of the Duplicate Record Set (i.e. the duplication being reported by Salesforce) and automated merge by OneMerge.

As the Duplicate Record Set (standard) object supports record-triggered flows, automation could be added to evaluate the duplicate records and set the Merge Decision field at the time of creation.
