Salesforce Duplicate Reporting

Winter 25 Release Highlights

In order to maintain the high quality, low fragmentation Salesforce CRM data so critical to operational efficiency, accurate reporting, AI, Salesforce Data Cloud optimisation it is imperative that a duplicate reporting process is established with accurate statistics that cover the current level of record duplication, the trending behaviour over time and the sources of duplicate records.

Salesforce provides Duplicate Management features as standard which cover identification of duplicates based on custom matching logic (Matching Rules; fuzzy and exact matching) and the actions to take when duplicates are identified (Duplicate Rules; alert, block, report). The standard features do not directly support duplicate reporting, the only possibility (for Salesforce Unlimited Edition and above customers) is to run a Duplicate Job to scan a Salesforce Object for duplicates and to report those duplicates en-masse as Duplicate Record Sets and Duplicate Record Items. This process enables reporting on the current state but does not support temporal reporting of trends over time.

OneMerge is a certified AppExchange solution which extends the Salesforce Duplicate Management features, primarily with the capability to auto-merge identified duplicates with custom merge logic but also with secondary capabilities such as Matching Jobs which provide a functionally equivalent feature to Duplicate Jobs for Salesforce Enterprise Edition customers.

With the OneMerge Winter ’25 release a new Duplicate Reporting feature is added which enables a Salesforce Object to be scanned for duplicates using the matching logic encapsulated by the active Salesforce Matching Rules and duplicate statistics to be generated for reporting purposes.

Duplicate statistics include the number of checked records, the number of duplicates records and the number of duplicate record sets which is the count of unique record groupings. For example, with 10 Alan Smith records containing 8 duplicates the counts would be 10 checked, 8 duplicate, 1 duplicate record set.

Duplicate statistics can be grouped by up to 3 levels (e.g. Country, State, City), a filter can also be applied to limit the records that are scanned (e.g. Country = UK).

A fully automated, statistics driven duplicate management workflow can be implemented where the level of duplication can be tested against a threshold to determine whether further action is taken i.e. matching and merge jobs initiated.

OneMerge Duplicate Reporting is available in OneMerge Enterprise, Standard and Free Edition.

The following screenshots show the key aspects of the OneMerge Salesforce Duplicate Reporting solution.

The first screenshot below shows the Duplicate Statistics Dashboard. The default analytics can be extended to meet reporting requirements.

Duplicate statistics are generated by Duplicate Check Jobs and are grouped by the specified fields e.g. Country, State, City or just City as shown.

In addition to Duplicate Check Jobs, the Duplicate Check Grouping records are used for reporting purposes.

Duplicate Check Jobs are scheduled via Guided Setup. Please note, one or more active Duplicate Rule and Matching Rule must exist for the selected Salesforce object.

Finally, the required grouping level fields can be specified and an optional filter added.
